Key Responsibilities:
Office Management:
- Oversee daily office operations and ensure the office runs smoothly.
- Manage office supplies, inventory, and vendor relationships.
- Coordinate scheduling and calendar management for senior leadership.
- Handle phone calls, emails, and correspondence in a professional manner.
- Assist in organizing meetings, company events, and employee activities.
- Ensure office equipment is well-maintained and resolve any technical issues that arise.
- Accounts Payable (AP): Process and manage vendor invoices, ensuring timely and accurate payments.
- Accounts Receivable (AR): Oversee invoicing, track payments, and follow up on outstanding accounts.
- Month-End Closings: Prepare financial statements and reports, ensuring all transactions are accurately recorded and reconciled before month-end deadlines.
- Assist with budgeting, forecasting, and financial reporting as needed.
- Reconcile bank statements and credit card transactions.
- Support the preparation of annual audits and tax filings.
- Maintain office files, records, and documentation in an organized and accessible manner.
- Assist HR with onboarding new employees, including paperwork, benefits administration, and record-keeping.
- Serve as the point of contact for employees regarding office-related matters.
- Ensure compliance with company policies and procedures.
- Experience: 3+ years of office management experience with a strong focus on accounting tasks (AP, AR, month-end closings).
- Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with accounting software (e.g., Oracle, QuickBooks, Xero, Sage).
- Attention to Detail: Ability to manage multiple tasks simultaneously while ensuring accuracy and attention to detail in financial reporting.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with employees and vendors.
- Time Management: Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Problem-Solving: Ability to troubleshoot issues and resolve discrepancies in a timely manner.
- Experience in payroll processing and/or HR duties is a plus.
- Familiarity with project management software (e.g., Trello, Asana).
- Previous experience working in a fast-paced or growing company.
